Spring Registration Special Instructions

Because players only register once per year in eAYSO, Spring season registration must be handled slightly differently than Fall season. If a player has registered in the immediately preceding Fall season, you don't register him, but instead do Registration -> Manage Players Sub Season, then Subseason From: Regular, and Subseason To: Spring. If the player has not registered in the immediately preceding Fall season, he registers as usual as described below.

In order to manage this easily, make sure you have a list of all the registered players from Fall at the Spring registration. Also, bring all the Fall registration forms and a copier so that we can copy them for the division coordinators.

Normal Registration Instructions

Accurate and expeditious process of player registrations is very important, and delays here cascade to delays in team formation and notifications to parents of practice schedules, etc.. If you run into problems or cannot complete your task on time, please contact the Registrar as soon as possible.

Setup

  1. Sort by last name, then first name
  2. Log in to e-AYSO.
  3. Registration -> Player

Pre-registered (there's a pre-reg number on the form)

  1. Select PreRegistered Players from the drop down list.
  2. Enter a first part of the last name (one or more letters) next to the search button, then press search
  3. Verify that the AYSOID / PreReg# matches the form, then
    1. check the select box, change the division if necessary, and enter the check number, and change the amount if different than $90.
    2. scroll to the bottom of the page and.press Submit. You can do several at once if they all show up in the list at the same time, and just print the Submit button once. Verify that you get a happy message (like "player registered for the season") each time you press the Submit button. If you don't get the happy message, try again - the system sometimes gets overloaded.
  4. If any handwritten changes have been made to the form, select Registered Players from the drop down list, search for the player, click the player's name, make any necessary updates, scroll to the bottom of the page, then press Update.
  5. Keep the forms in alphabetical order as you process.

Pre-Printed (information is printed, but no pre-reg number)

  1. Select All NonRegistered Players from the drop down list.
  2. Enter a first part of the last name (one or more letters) next to the search button, then press search
  3. Verify that the name and birthday match the form, then
    1. If there are no handwritten updates besides division, check the select box, change the division if necessary, and enter the check number, and change the amount if different than $90, scroll to the bottom of the page and.press Submit. You can do several at once if they all show up in the list at the same time, and just print the Submit button once. Verify that you get a happy message (like "player registered for the season") each time you press the Submit button.
    2. If there are handwritten updates besides division, click the player's name, make any necessary updates, scroll to the bottom of the page, then press Renew Player.
  4. Keep the forms in alphabetical order as you process.

Handwritten

  1. Select All NonRegistered Players from the drop down list.
  2. Enter a first part of the last name (one or more letters) next to the search button, then press search
    1. If you find a name / birthday match, click the player's name, make any necessary updates, scroll to the bottom of the page, then press Renew Player
    2. If there's no match
      1. Scroll to the bottom of the page and press Add New Player.
      2. Follow instructions on screens. Don't bother with Mailing Address - it's unused. In the parent sections, check the Same as Player Info box, because address is required, but isn't available on handwritten forms. All fields marked with an asterisk are required.
      3. At bottom of page, push Register Player.
  3. Keep the forms in alphabetical order as you process.

After completing eAYSO tasks

  1. Keep any problem forms separately, with post-it notes explaining the problems.
  2. Keep all the forms for the successfully registered players in alphabetical order.
  3. Return all forms to the Registrar promptly.
